Purpose of Payroll and Finance Officer
• The role will take the lead on the payroll for the organisation and is responsible for ensuring accurately processing of monthly payroll within agreed deadlines
• The role will also include a range of financial tasks which will range from processing staff travel, payments for the organisation and accurate recording of any payroll related income and expenditure
• The role will also assist the Assistant Accountant, Head of Finance and Director of Finance in the requirements for the finance team and be responsible for training and supporting Finance Assistants in their duties
• This is a critical role within the finance team and will work together with the team to meet both operational and strategic targets for the team
• The role will also play a critical part of our central office team and work together with our core central team
• The role will be required to support our services teams with payroll and general queries
Main Responsibilities of Payroll and Finance Officer
Payroll Duties include:
• Manage payroll cycle from data entry to final payslip issue
• Ensure payroll compliance with HMRC regulations and internal policies (RTI, pension auto-enrolment, NI, PAYE, tax codes)
• Maintain payroll databases, process payment runs, and ensure documentation is accurate and timely
• Onboard new employees, manage leavers, and process year-end documents
• Preparing, monitoring and uploading overtime/ additional payments
• Processing and checking annual leave, maternity, sick pay etc
• Processing and calculating additional Holiday Pay
• Processing and checking monthly pension contributions
• Management of Payroll inbox and queries from staff across the organisation
• Management of Payroll related payments to third party
• Regularly meeting with the People department to ensure a business partnership is in place
• Supporting our services to ensure that information is delivered in timely manner for payroll processing
• Preparing reports on payroll for management across the organisation
Systems and Process Duties include:
• Working with the People department and Finance Management to develop and improve the payroll and HR systems for the organisation
• Working with the People department and Finance Management to develop policies and procedures for the organisation to ensure effective management and compliance around payroll
• Ensuring Data entry onto the company’s software system is timely and accurate
• Ensuring all records are stored as confidentially and manage access to systems as and when required
• Assisting in training staff across the organisation in any new systems or processes as required
Other Finance Duties include:
• Posting journals required by Assistant Accountant/Head of Finance
• Supporting the Assistant Accountant with monthly reconciliation process
• Supporting the Finance Management Team with producing reports for management meetings and Board
• Checking, posting and processing staff expenses
• Maintaining accurate and up-to-date financial files and records using spreadsheets and accounting software
• Working with external payroll provider to ensure process is executed accurately and in a timely manner
• Contribute to both the internal and external audit process
• Represent the Finance Team and Threshold Services at internal/external events as appropriate
Health & Safety
- Adhere and comply with all Threshold’s Health and Safety Policies and Procedures.
- Report and record any matters, for example defects and / or accidents in relation to any issues in respect of Health & Safety immediately, for the attention of the designated person.
- Contributing to the overall physical cleanliness and general condition of the facilities of the service.
Act as a Deputy Fire Warden and / or First Aid Person if designated.
